How to set up Claude Cowork (in under 10 minutes)

Most people try Claude Cowork, type a few prompts, and wonder why it doesn't feel like the "AI assistant" everyone talks about.

The problem is simple:

Out of the box, Claude doesn't know anything about you. It doesn't know your business, your tools, your communication style, or your workflows. Every session starts from zero.

A proper onboarding fixes that permanently.

This is the exact 5-step onboarding process I use to turn Claude from a generic chatbot into a personalized AI employee. Takes about 30 minutes if you do it manually.

Or under 10 minutes if you use the plugin we built. More on that at the end.

Step 1: Connect Your Tools First

This is where most people mess up. They start writing instructions for Claude before connecting any of their platforms.

Connect your tools BEFORE doing anything else. Why? Because when Claude can access your Google Drive, Notion, or Slack, it can pull context from your existing documents during setup. Less typing for you, better results from Claude.

How to do it:

Open Claude Desktop. Go to the connectors section. Search for the tools you use daily:

  • Google Workspace (Drive, Gmail, Calendar) - this is the big one
  • Slack - if your team communicates here
  • Notion - if your knowledge base lives here
  • Project management (Asana, Linear, Monday) - if applicable

Click connect. Authorize. Done.

Quick test: After connecting Google Drive, ask Claude to search for a recent document. If it finds it, you're good.

No connector available? Some tools don't have direct integrations yet. Workaround example: if you sync Calendly to Google Calendar, Claude can access your schedule through the Google Calendar connector.

Step 2: Create Your Context Files

This is the step that transforms Claude from generic to personal.

Context files are documents that tell Claude who you are, how you communicate, and how you work. They load automatically every session. Three files, that's it.

File 1: about-me.md

Answer these questions:

  • What do you do? (one sentence)
  • What businesses or projects are you working on?
  • What's your professional background?
  • Who do you serve?
  • What tools do you use daily?

Claude can actually help you write this. If you connected Google Drive in Step 1, ask Claude to scan your existing documents for company info, bios, and about pages. It'll draft most of this for you.

File 2: brand-voice.md

This is how Claude learns to sound like you, not a robot.

  • Are you direct and no-nonsense? Warm and conversational? Academic and detailed?
  • Do you communicate differently with clients vs. your team?
  • What language do you hate? (corporate buzzwords, passive voice, emoji overload)

If you have existing writing samples (emails, social posts, blog content), point Claude to them. It'll extract your patterns automatically.

File 3: working-style.md

This file tells Claude HOW to work with you:

  • Should it ask clarifying questions first, or just go?
  • What file formats do you prefer?
  • How detailed should responses be?
  • Any hard rules? (e.g., "never use em dashes," "always show your reasoning")

Where to save them: Create a dedicated folder (name it anything: "ClaudeContext," "AI-Setup," your business name). Select this folder at the start of every Cowork session. That's how Claude loads your context automatically.

Step 3: Set Your Global Instructions

Global instructions are the "always-on" rules Claude follows in every single session, even before you select a folder.

Think of it as your executive brief. Take everything from your three context files and condense it into ~800 words.

Structure:

  • Who I am (2-3 sentences)
  • How I work (task approach, communication preferences)
  • Output defaults (format by task type)
  • Voice/tone (key characteristics)
  • Key business context
  • Rules (always do / never do)

How to activate: Open Claude Desktop → Settings → Cowork → click "Edit" next to Global Instructions → paste → save.

Now every session starts with Claude already knowing your name, your business, your preferences, and your rules. No more re-explaining yourself.

Step 4: Install Your Skills

Skills are pre-built capabilities that make Claude actually useful for specific tasks.

Out of the box, Claude can chat. With skills installed, it can:

  • Research and profile potential partners
  • Draft content in your voice
  • Prep for meetings by scanning attendees' LinkedIn profiles
  • Generate reports from your data
  • Run multi-step workflows

How to find them: Use the plugin search inside Cowork. Search for keywords related to your work (content creation, sales, research, project management).

Pick 3-5 to start. Don't overload. Install the ones that match your most repetitive tasks. You can always add more later.

No skill for your workflow? You can create custom ones. That's a topic for another article, but just know the option exists.

Step 5: Set Up Scheduled Tasks

This is where Claude goes from assistant to employee.

Scheduled tasks run automatically on a schedule you set. No prompting required. Claude just does the work.

Common examples:

  • Every morning at 8 AM: Check your inbox, flag urgent items, summarize what needs attention
  • Every Monday: Generate a weekly summary of completed tasks
  • Every day at 6 PM: Scan your calendar for tomorrow, prep briefs for any new meetings

How to set them up:

Ask yourself three questions:

  1. What do I do every day/week that's repetitive?
  2. What do I always forget to do?
  3. What would save me the most time if it happened automatically?

Create the task in Cowork with a plain-language schedule ("Every weekday at 8 AM") and a detailed prompt describing exactly what you want done. The more specific the prompt, the better the output.

Start with one. Get it right. Then add more.

The 30-Minute Setup (Or 10 Minutes With Our Plugin)

Here's the full sequence:

  1. Connect tools (5 minutes) - Google Workspace + whatever else you use
  2. Create context files (10 minutes) - Let Claude draft them from your existing docs
  3. Set global instructions (5 minutes) - Condense context files into the always-on brief
  4. Install skills (5 minutes) - Pick 3-5 that match your workflow
  5. Create first scheduled task (5 minutes) - Start with a morning briefing

That's it. 30 minutes and Claude goes from "generic chatbot" to "knows your business, your voice, your tools, and runs tasks while you sleep."
